The general Clarev notice v8.1

Who holds your data

The Phronesis Project, practicalwisdom.ai, run by Reginald Rea as a sole trader.

Uncertaintymachine@gmail.com

We are responsible for everything described here. If you want something explained, changed or deleted, ask us.

THE PHRONESIS PROJECT IS RUN BY ONE PERSON, WORKING WITH AI TOOLS. Throughout this notice, "we" means him and those tools, and nobody else.

What clarev is

Clarev is the memory system behind a family of AI helpers, each built for a different purpose. What they share is Clarev: a way of remembering you, so a new conversation is not a conversation with a stranger. Without this, every AI interaction starts from zero — the assistant does not know what you asked last time, what it concluded, or who you are. Clarev exists to solve that, while keeping you in charge of what it remembers and for how long.

YOUR ANSWERS ARE GENERATED BY AI LANGUAGE MODELS, NOT WRITTEN BY A PERSON. Clarev is deliberately built to work with more than one model provider rather than being fixed to one — the current provider is named below, under Other Companies Involved, and this notice is updated whenever that changes, before the change takes effect for real users.

THIS SERVICE IS FOR ADULTS. You must be 18 or over to use it, confirmed when you sign up or when your access is arranged with us.

YOU DECIDE WHAT IS KEPT. Nothing is written to your notebook without you accepting it first. Your library — anything you save or capture — is yours to edit or delete at any time. Your archetype, if your helper builds one, is yours to see and change. Nothing here happens automatically without a way for you to see it, correct it, or remove it.

What is yours and private

These belong to your account. No other user can see them:

IF YOU USE MORE THAN ONE HELPER UNDER ONE SIGN-IN, EACH HELPER KEEPS ITS OWN MEMORY OF YOU. One helper does not know what you discussed with another.

What is not yours and is shared

Each helper maintains its own dossier — reference material for its subject, common to every user of that helper and not personal to you. You can read and use that material freely.

It is kept current by automated searches for public information. THESE SEARCHES KNOW NOTHING ABOUT YOU — not your account, not your library, not anything you have asked. They exist only to add current public material to the shared dossier, which you then read the same way as everything else there.

YOUR LIBRARY HAS TWO KINDS OF THING IN IT.

Whatever you add stays in your own space. THERE IS NO PATH FROM YOUR LIBRARY INTO THE SHARED DOSSIER, AT ANY POINT, FOR ANY REASON. If you take something from the dossier and make something new from it — notes, anything you build — that is yours, and it stays yours.

DOCUMENTS THEMSELVES — WHETHER FROM THE DOSSIER OR SOMETHING YOU SAVED YOURSELF — STAY IN YOUR LIBRARY AND ARE NOT OFFERED AS A FILE TO DOWNLOAD. Once something is captured into your library, it is not copied back out as a document — this is often true even for material you saved yourself, because you may not be the original author of what you captured. NOTHING STOPS YOU DISCUSSING IT WITH the helper, in as much detail as you like, and that conversation is yours to keep, exactly like any other part of your diary. This is about documents captured into your library: what you write yourself, and what a watch finds for you, can be downloaded where your helper offers it.

WHAT THE HELPER DRAWS ON WHEN IT ANSWERS YOU: its own shared dossier, your own library, and what the underlying model already knows. Some helpers can also check something specific and current when your question needs it; if so, this is described in that helper's own addendum, along with anything else particular to it.

Why it is held, and on what basis

To let the helper build a genuine, cumulative relationship with you rather than starting over every time, to keep your own material where you can find it again, and to keep your account separate from anyone else's. Using a Clarev-backed helper means agreeing to what running it actually requires — your conversations, your archetype, your diary — as one thing; there is no partial version of the service to opt into.

The one exception is US LOOKING AT YOUR PRIVATE MATERIAL, described below. That is separate, specific, and you can withdraw it at any time without affecting anything else.

How long it is kept

For as long as your access lasts. Access may expire; you can ask for a new link.

WITHDRAWING MEANS LEAVING. There is no partial withdrawal — the service is one thing, not a set of features you can opt out of individually while continuing to use the rest. Before you go, YOU CAN DOWNLOAD YOUR OWN DIARY — your history with the helper, in a format you can keep and read elsewhere. You do not have to be leaving to do this — it is available to you at any time. This is your own words and history; it is not a copy of the dossier or the documents in your library, which stay in the system as described above.

When your access ends for good, YOUR PERSONAL INFORMATION IS DELETED — email address, conversations, captured documents, diary, archetype and slices — including copies held elsewhere in the system, not only the obvious ones. This has been tested against a real account, not only designed: the deletion runs, checks itself afterward, and confirms nothing of yours is left anywhere it looked.

YOUR SIGN-IN ACCOUNT ITSELF IS REMOVED AS A SEPARATE STEP THAT WE CARRY OUT BY HAND — it is not yet part of the automatic deletion — and your deletion is not treated as complete until that is done too.

The shared dossier is unaffected, because it was never yours.

Us looking at your private material

WE UNDERTAKE NOT TO LOOK AT ANYTHING LISTED AS PRIVATE WITHOUT FIRST TELLING YOU AND OBTAINING YOUR PERMISSION. This covers our AI tools as well as the person who runs the Project.

You can give permission for a single occasion, or standing permission covering future maintenance. Either is given by email, so there is always a written record of what you agreed. YOU CAN WITHDRAW STANDING PERMISSION AT ANY TIME, BY EMAIL, AND IT TAKES EFFECT IMMEDIATELY.

THERE ARE THREE SITUATIONS WHERE WE WILL ACT WITHOUT ASKING FIRST:

THE LINE WE ARE DRAWING IS BETWEEN THE TECHNICAL AND THE PERSONAL. Keeping the system working sometimes means touching the place your material is stored, and we may see things in passing while doing it. What we will not do is go looking through your conversations, your diary or your archetype — reading your material as material — without asking you first.

Where we have had to look at something private under any of the situations above, we will tell you afterwards, unless we are legally prevented from telling you.

BE AWARE: we run the system, so we are technically capable of reading anything stored in it. All of the above is an undertaking about what we will do, not a technical barrier. We are bound by confidentiality over anything we see and will not use it for any purpose other than the one you agreed or the repair we were making.

Other companies involved

Clarev is built on services run by others, so your data passes through them:

Some helpers use further companies for what is specific to them — described in that helper's own addendum, never here.

They process it to provide their service, not for their own purposes.

Our own working tools — the notes and conversations in which Clarev is built and run — use the same model providers, and those notes can mention you where the work concerns you. They are handled on the same terms and are never used to decide anything about you.

LIKE ANY ONLINE SERVICE, WE CANNOT GUARANTEE PERFECT SECURITY. WHAT WE OFFER IS BEST EFFORTS, AND HONESTY ABOUT WHAT WE CAN AND CANNOT CONTROL. Where this notice says something has been checked, tested or verified directly, it has — that is within our control, and we do it. Where your data passes through a company we do not run, we choose carefully and check what we can before relying on them, but we cannot fully control another company's own systems, and we do not claim to. No system, ours included, is immune to every possible failure.

Your rights

You can ask us to show you what is held about you, correct anything wrong, delete it, or stop using it in a particular way. You do not need a reason.

YOU CAN DOWNLOAD YOUR DIARY DIRECTLY, AT ANY TIME, WITHOUT ASKING — your own history, in a copy you can keep. Documents in your library, including the dossier and anything you saved yourself, are not offered this way, because much of what a library holds was not originally written by you to begin with.

Your archetype is covered by the rights above, and you can also change it yourself at any time without asking.

If you are unhappy with how your information has been handled and we cannot resolve it, you can complain to the Information Commissioner's Office at ico.org.uk.

Decisions and profiling

HUMAN JUDGEMENT STAYS IN THE LOOP AT EVERY POINT THAT MATTERS. THIS IS A DESIGN PRINCIPLE, NOT AN AFTERTHOUGHT. Your archetype accumulates so the helper can serve you better; it does not decide anything about you on its own. You decide whether an answer is right. You decide what stays in your archetype and what gets changed. Where a helper draws on outside research or multiple sources, it shows its working rather than presenting a single verdict — you decide what to do with it. Nothing here is used to make a decision that has a legal or similarly significant effect on you.

The notice for Clarev helpers v1.2.1

THIS PART IS FOR EVERY CLAREV HELPER.

Read the general Clarev notice first: it covers everything true of any helper built on Clarev, including your data, your archetype, your diary, erasure, us looking at private material, and the main companies involved. This notice covers the features our helpers share. Not every helper has every feature; where something below says "if your helper…", it applies only where your helper does that.

How you reach your helper

You may reach your helper by a private link of your own. ANYONE WHO HAS THE LINK CAN OPEN YOUR PAGE, so keep it to yourself. If you think someone else has seen it, tell us and we will replace it; the old link stops working at once.

What your helper may keep, beyond the general notice

Everything above is kept apart from every other user's material; nothing of yours crosses into anyone else's.

What leaves, and what doesn't

A WATCH searches public news services for the public names you have added — as the bare name only, as soon as you add them and daily after that — and fetches public pages. The services doing this see the names and addresses being searched or fetched; nothing else about you.

WHAT YOU ARE FOLLOWING, AND YOUR NOTES, ARE NEVER USED TO BUILD A WATCH SEARCH. That is how the system is built, and it has been tested.

LIVE WEB CHECKS: when you ask your helper to check something on the live web, it searches on your behalf. It is instructed to search with public names and public subjects only, and not your angle, your notes or anything unpublished. This is an instruction to the AI, not a technical barrier: the words of a live search leave our system, and if you ask it to look for something specific, those words go with it.

PUBLIC REFERENCE SOURCES for your helper's subject — a price index, a public database — are queried with the item or subject only, never anything about you.

For subscription sites, a helper looks at headlines only, to see whether something is being reported. It does not read behind a paywall.

IF YOUR HELPER SENDS YOU A SUMMARY BY EMAIL, it carries headlines and a link to your page, never what you are following or your notes.

What we cannot design away

Your helper runs on an AI model provided by a third party, named in the general notice. That model reads what you tell your helper, in order to answer you. It is handled under that company's terms and on our best efforts, but it is an exposure, and you should know it.

Who can see your material

As the general notice says. If you have agreed in writing that we may read what your watch and searches turn up, that agreement covers those results; what you are following and your notes remain private, and we look at them only as the general notice describes.

A practical suggestion

Your helper does not need to know who your confidential sources or contacts are in order to help you. We suggest you never tell it.

The additional companies involved, where your helper has the feature

EVERYTHING ELSE is in the general Clarev notice and applies exactly as written there.

Built from the general notice v8.1 and the helper notice v1.2.1, both of 28 October 2026. Two lines of the helper notice are filled for this page: the line naming the helper, and the line on when a watch searches names, which follows the build ("as soon as you add them and daily after that").
